Position Purpose/Objective: To support the finance department in the following areas: Fulfilling tearsheet requirements of advertisers; performing general office tasks such as data entry, filing, mail processing, etc.

All core duties are listed before supporting duties. The relative importance of duties relates to the anticipated impact of that duty to the business, department, customer, and/or product.

Position Duties:

Meets Expectations When:

Tears and greases assigned print products in accordance with policy. CORE

Tear sheets are pulled daily using applicable report; tear sheets are filed and mailed on schedule as requested by the advertiser.

Processes electronic tear sheets. CORE

Tearsheet report is run on schedule. Reviews for tears that did not get sent. Customers receive tears in a timely and accurate manner. Customers are set up in system.

Processes incoming and outgoing mail. CORE

Incoming and outgoing mail is processed on schedule. Returned mail is processed and re-sent.

Performs general office duties, including, but not limited to: data entry, spread sheets, etc. filing – organize and maintain filing CORE

General office duties are performed accurately and on time.

Documents job policies and procedures. SUPPORTING

Tear sheet policies and procedures are documented and kept current. Procedures are updated no less than quarterly.

Provides excellent customer service to both internal and external customers. SUPPORTING

All customers, internal and external, are assisted in a courteous, professional and timely manner.

Uses available technology to support efforts as needed. SUPPORTING

Possesses adequate knowledge of all pertinent software/systems necessary to perform duties efficiently.

Provides coverage for Welcome Center as needed. SUPPORTING

Customer inquiries are handled in a professional manner. Customer payments are processed accurately.

Other related duties as assigned. SUPPORTING

Additional duties are performed as assigned in a timely and accurate manner.

 

Required Education and/or Experience/Knowledge: High School graduate or equivalent.

Requires Skills:

Customer service skills.
Organization skills and ability to prioritize.
Solid communication skills, both verbal and written.
Ability to work at a fast pace.
General office and clerical skills.
Use of discretion when working with confidential information.
Working knowledge of PC's, MS office and similar software.
Ability to stand for long periods of time.

This position reports to: Controller or Accounting Manager
